User Guide: Account Importing in Moodle

Introduction

This user guide provides step-by-step instructions on how to import user accounts in MoodleBox, allowing you to efficiently create multiple user accounts at once. Account importing can be useful for administrators or teachers who need to add a large number of users to their MoodleBox instance. Follow the instructions below to import user accounts successfully.

Step 1: Prepare User Account Data

Create a spreadsheet file (e.g., in Microsoft Excel or Google Sheets) containing the user account information. Ensure the following columns are included:

Username

First Name

Last Name

Email Address

Password (optional, can be generated by MoodleBox)

Populate the spreadsheet with the user account details, ensuring each row represents an individual user.

Step 2: Format the Spreadsheet

Save the spreadsheet file in CSV (Comma-Separated Values) format. This format is widely supported by MoodleBox.

Verify that the column headers in the spreadsheet match the expected field names: usernamefirstnamelastnameemail, and password.

Download Example FileTo use the example text file, download it then open it with a text or spreadsheet editor. Leave the first line unchanged, then edit the following lines (records) and add your user data, adding more lines as necessary. Save the file as CSV then upload it. The example text file may also be used for testing, as you are able to preview user data and can choose to cancel the action before user accounts are created.

Step 3: Access the MoodleBox Site Administration

Log in to your MoodleBox instance with your administrator account.

Once logged in, click on the "Site administration" link usually located in the administration block or navigation menu.

Step 4: Navigate to the User Upload Page

In the Site Administration panel, locate the "Users" section or a similar category that relates to user management.

Click on the "Upload users" option. This will take you to the user upload page.

Step 5: Upload and Import User Accounts

On the user upload page, click the "Choose a file" or "Browse" button to select the CSV file you prepared earlier.

After selecting the file, click the "Upload users" or "Import" button to start the import process. MoodleBox will validate the CSV file and display any errors or warnings that need to be addressed.

Review any error or warning messages carefully. Make the necessary adjustments to the CSV file, fixing any formatting or data issues. Repeat the upload process until all errors are resolved.

Once the file is successfully imported without errors, MoodleBox will create user accounts based on the data provided in the CSV file.

Step 6: Notify Users

After the user accounts are imported, it is recommended to notify the users about their new accounts and provide them with login instructions. You can send an email or communicate through other channels to inform users about their MoodleBox usernames and passwords.
